1. Overview
This Cancellation Policy applies to all tour packages, hotel bookings, transfers, and activities booked through South East Asia DMC Private Limited (trading as "SEA DMC") for destinations including Singapore, Malaysia, Bali, Dubai, and Thailand. By confirming a booking, the travel agent and/or end customer agree to the terms outlined below.
2. Cancellation Charges — Land Packages
Cancellation charges are calculated based on the number of days prior to the date of travel (i.e. the check-in date or first service date), as a percentage of the total package cost:
| Cancellation Timeline | Charges (% of Package Cost) |
|---|---|
| 30 days or more before travel | 10% of total cost |
| 21 – 29 days before travel | 25% of total cost |
| 15 – 20 days before travel | 50% of total cost |
| 07 – 14 days before travel | 75% of total cost |
| Less than 7 days or No Show | 100% — No refund |
3. Hotel Cancellation
- Hotel cancellation charges are governed by the respective hotel's policy and may differ from the standard slabs above.
- Some hotels impose a non-refundable advance policy, especially during peak seasons (Christmas, New Year, Chinese New Year, school holidays).
- For special or promotional hotel rates, cancellation may attract 100% charges regardless of timing.
- SEA DMC will share the hotel-specific cancellation terms at the time of booking confirmation.
4. Peak Season & Blackout Periods
During the following peak periods, cancellation charges may be higher than standard slabs and may attract 100% charges irrespective of timeline:
- 20 December – 05 January (Christmas & New Year)
- Chinese / Lunar New Year period
- Hari Raya / Eid al-Fitr period
- Singapore Grand Prix week
- Indian long weekends & Diwali
- Dubai Shopping Festival period
- School holiday months (May–June, October)
5. Non-Refundable Components
Certain services are 100% non-refundable once booked, including but not limited to:
- Attraction tickets (e.g. Universal Studios, Burj Khalifa, Desert Safari)
- Cruise bookings (e.g. Singapore–Malaysia cruise packages)
- Special event or show tickets
- Visa processing fees
- Travel insurance premiums
- Airport meet & greet services already rendered
6. Group Bookings (10+ Pax)
- Group cancellation policies are communicated separately at the time of group quotation.
- Partial cancellation of group members may affect per-person pricing for remaining travellers.
- Group release terms typically require 30–45 days advance notice with progressive charges thereafter.
7. Amendment & Date Change
- Date change requests are treated as a cancellation of the original booking and a new booking at prevailing rates.
- Name changes may be permitted depending on supplier policies and may attract administrative fees.
- All amendment requests must be made in writing via email to sales@seadmc.in.
8. Force Majeure
In cases of force majeure (natural disasters, pandemics, government travel restrictions, airline strikes, political unrest, or events beyond reasonable control), SEA DMC will work with suppliers to offer the best possible resolution — which may include date changes, credit notes, or partial refunds. However, SEA DMC cannot guarantee full refunds in force majeure situations as it depends on supplier policies.
9. How to Cancel a Booking
- Send a written cancellation request to sales@seadmc.in with the booking reference number.
- Cancellation is effective from the date SEA DMC acknowledges receipt of the request via email.
- Verbal or WhatsApp cancellations are not considered valid until confirmed via email.
